Entering hard copy applications into SmartyGrants
If you are leaving the option open for applicants to send in manual hard copy applications forms, you can do so via the following instructions:
If you are an internal manage site user, you can log into the applicant site with the same username and password and data entry these applications under your username. If you want someone to data entry who is not an existing manage user, you can register an e-mail address and password under the applicant site and then data entry applications all under that registered username.
On the applications tab, these manually entered applications will appear with your e-mail address at first glance, however, the application id’s will be unique and will record the specific applicant information entered. At any point in time an application can be changed to a different user - see Change Application User for more details.
The 'applicant site' refers to the unique Grant Round URL link. You will find this in the round settings - go to the rounds tab, click on the relevant round - the grant round link will be in the bottom right hand corner.
What if my Grant Round has closed?
If your Grant Round has already closed, you can continue to enter applications using the late submission url. See Late Submission for more details.
What if my applicants did not apply using Smarty Grants, can I still run my acquittal round using the system?
If you have applicants that applied in hard copy or via a different system, you can still have them fill out an acquittal form using the system. There are two ways you might do this.
(1) Enter all of the applications via the hard copy instructions above, and then attach an acquittal form to each of those applications
(2) Create your acquittal form as an application form-type instead. (For information on form building and form types, click here). You can then attach this form to a grant round, publish the round to your applicant site and have applicants filling in their acquittal forms in this way. The form would display just like any other grant round you would run in the system.
It might be best, particularly if you are also running other grant rounds at the time, to set up this 'Acquittal Round' as a private round. This creates a private web link, only accessible to those you share the URL with the relevant applicants.
